Position: ADMINISTRATIVE ASSISTANT – PUBLIC WORKS

Starting Range: $18.10 – $19.95 (Pending Education & Experience)

Location: PUBLIC WORKS

Report to: PUBLIC WORKS MANAGER

POSITION SUMMARY
The Administrative Assistant is responsible for providing administrative support services in both clerical and secretarial areas. The Administrative Assistant functions within legislative requirements, regulations, policies and procedures and the Mission, Beliefs and Vision of the Garden River First Nation, and contributes to the accomplishment of the strategic priorities.

DUTIES
• Provide general administrative and clerical support;
• Answering and transferring all incoming calls; recording and forwarding messages;
• Organize and maintaining a filing system for documents;
• Prepare proposals for short-term projects and contracts as directed by supervisor;
• Contact outside contractors;
• Prepare and modify documents including correspondence, letters, forms, contracts, funding requests, reports, drafts, memos, Excel spreadsheets, briefing notes, power point and emails;
• Prepare staff time sheets for manager approval as requested;
• Organize and schedule training and other meetings, including contacting participants, potential employers, training institutions, booking rooms and ordering catering;
• Attend and prepare committee meetings, including recording and distributing minutes, agendas, and other relevant information as requested;
• Organize and prepare agendas for Council Portfolio meetings and record and distribute minutes;
• Assist department staff in meeting deadlines for various tasks and projects as required;
• Complete weekly filing for reports, documents, and other required information;
• Develop and maintain filing systems;
• Update and enter any amendments to all relevant policies;
• Perform various tasks to meet monthly obligations and deadlines;
• Perform other duties as may be required or assigned;

QUALIFICATIONS
• Required a one-year college certificate in a related field (e.g. Business Administration, Office Administration, Etc.);
• Proven administrative or assistant experience;
• Knowledge of office management systems and procedures;
• Demonstrated sensitivity to and knowledge to the First Nation cultural values and traditions;
• Ability to use good judgment in assessing difficult situations;
• Ability to be consistent and display a positive/helpful attitude;
• Flexibility required to keep pace with an ever-changing environment;
• Stamina, sensitivity and strong negotiation and advocacy skills;
• Willingness to accept changes in work practices and technology;
• Ability to work under pressure to meet deadlines;
• Ability to work independently and collaboratively as a member of a team ;
• Excellent organizational skills, time management skills, interpersonal and communications skills, both oral and written;
• Excellent computer skills (including MS Word, Word Perfect, Excel, Internet, Email, Outlook);
• Must undergo a criminal record check prior to employment (At Applicant Expense)
